Photograph the invoice. Approve the draft.

No re-typing. The AI reads an invoice, an email or a typed order and drafts the purchase, bill or stock move, with the source of every line. Nothing posts until you confirm, and it follows the same rules as typing it in yourself.

  • It proposes. It never posts. Every action starts as a draft in the AI inbox.

  • Same rules as typing it in. A confirmed draft passes the same checks.

  • Logged, and undoable where it can be. The ones that cannot say so before you confirm.

  • Spend has a ceiling. AI usage is capped by a monthly budget you set per company.

43 kinds of action, from supplier bills to formulas and customer orders. Questions about your own data (stock, expiry, margin, lot trace) are answered from your records, and are in the base price.

See what you have, what to buy and what each order earns.

One ledger underneath, four views on top. Every panel below runs on sample data, so move the controls.

Explain every number on hand, to the day.

On-hand stock is built from a ledger that can only be added to. Rebuild any quantity as of any date, and trace a lot to its customers or back to its supplier.

  • The lot that expires first is picked first. A quarantined lot is never picked automatically.
  • A recall report lists the customer orders affected and the lots still on your shelves. It is in the base.
  • Corrections are new rows. Nothing is edited or deleted, so the history always adds up.

Try it. Drag the date slider, then append a correction row.

In your plan. The ledger, lots, the recall report and as-of-date stock are in the base.

Buy only what the batch needs.

Set a batch size and every ingredient rescales. Whatever you are short of becomes a draft purchase order, rounded to the pack size.

  • Formulas with yield, scrap, versions and substitutes. Under-yield and losses are recorded, not hidden.
  • A production order reserves materials, consumes them by lot and links every finished lot to the raw lots it came from.
  • Purchasing rules: minimum order and pack size, approval above an amount, and matching of order, receipt and bill.
  • Shortage planning: demand plus minimum stock, minus what is on hand, minus what is already on order.

Try it. Drag the batch size and watch the shortage turn into a draft purchase order.

In your plan. Purchasing and the recall report are in the base. Formula-based production is +$299.

Promise a ship date you can keep. See the margin on every line.

Every line is sourced from stock, made, bought, or sent to a processor. Activate the order and the reservations, production orders and purchase orders are created in one step.

  • Quote to invoice and return in one flow, with a credit limit per customer: warn, require approval, or block.
  • Subcontracting. Your materials go to a processor, its rates are applied, its bill is reconciled and losses are recorded with a responsible party.
  • Margin on every line of every order.

Try it. Use the steppers to move quantity between stock, buying and making.

In your plan. Orders, invoices, margin and credit limits are in the base. Subcontracting is +$169.

Your own forms. Your own books.

Documents come out in the layout you already use. Accounting is connected, not replaced.

  • Invoices, quotes, bills of lading and packing slips are generated as spreadsheet (.xlsx) files in your layout, stored, and attached to the record.
  • QuickBooks is the first accounting connection. Invoices and orders go out, payments and the balance sheet come back, and every exchange sits in a log with a retry button. Live QuickBooks companies follow Intuit's review of the app; today it runs against the QuickBooks sandbox.
  • An open API. What you see on screen, you can read through the same API our own interface uses. Reading is in the base; writing is a $99 module.

Try it. Press Retry on the warning row of the exchange log.

In your plan. Documents, the QuickBooks connection (sandbox today, live after Intuit’s review) and the read API are in the base. Writing through the API is +$99.

What does it cost?

The base is from $249 a month per company. It includes lots and the recall report, customer invoices, a read API and AI questions about your data, with unlimited users, warehouses and orders. Modules go on top: formula-based production +$299, subcontracting +$169, AI assistant +$160, write API +$99. Everything available today comes to $976.

Customer portal and CRM (+$189) and industry packs (+$99) are not on sale yet. As modules are added, the monthly bill stops at $999. Prices are public and in USD, you can add modules later, and there is no annual lock-in. Build your own price.

Who is it for?

Makers who work from formulas and batches, typically with 5 to 49 people: specialty food, chemicals and compounds, cosmetics, supplements and pet food. If you make things from a formula and need to know exactly which lot went where, it is built for you.

Does the AI post things on its own?

No. The AI proposes a draft. You see a plain-language preview of what will happen and confirm. A confirmed action goes through the same checks as manual entry and lands in a log of who did what and when. AI spend is capped by a monthly budget you set per company.

Can I undo an AI action?

Most of them, in one click from the AI inbox. A few cannot be reversed by the AI, such as receiving stock against a supplier bill, which books the receipts, the bill and sometimes the closing of the order in one go. For those, the inbox says so before you confirm and tells you where to reverse it: in Purchasing.

Does it replace my accounting software?

No. There is no general ledger, on purpose. ainventry connects to your accounting: QuickBooks is the first connection, with invoices and orders going out and payments and the balance sheet read back. Connecting live QuickBooks companies follows Intuit's review of the app, so today it runs against the QuickBooks sandbox. Read about the QuickBooks integration.

What is not in the product yet?

Not yet: labour and overhead in product cost, capacity-based production scheduling, scanning and labels, demand forecasting, multi-level formulas and US sales tax. In progress: the customer portal and CRM, PDF document output, and live QuickBooks companies. Planned: industry packs and work centres.

How is my data protected?

All traffic is encrypted with TLS 1.2 or higher, and sensitive data is encrypted at rest. Every record is scoped to your organisation, so another company can never see or find your records. Passwords are stored as salted PBKDF2-SHA256 hashes, access is role-based, and API tokens are scoped and can be revoked at any time. The database is backed up automatically every day.

Not yet: multi-factor authentication is on the roadmap, there is no SOC 2 Type II certification, and no independent penetration test has been completed. Details are on the Security page, the Privacy policy and the list of subprocessors.

See it on your own scenario.

Tell us about your business. We can show the product on a call, or record a short video if that is easier.

  1. Tell us what you make and how big the team is.
  2. We show a recall trace, a batch and an order on a scenario close to yours.
  3. Prices stay as published: from $249 a month, never over $999.
